Role: Customer Solutions Specialist
- Partner with Account Executives, Independent Representatives, Engineering, Marketing, and customers to ensure correct ordering and pricing
- Timely entry of parts and machine orders following 80 / 20 guidelines with a goal of completing all requests by close of day
- Review inventory on all orders for availability and follow production lead times and shipping cutoffs
- Create customer masters as required by account and pricing. Ensure appropriate levels of credit is obtained by the customer.
- Create and maintain JDE order templates
- Ensure pricing accuracy and policy exception process is followed
- Drive price uploads, ensure correct pricing, and manage annual price uploads
- Drive the ECN process
- Obtain freight quotes as needed
- Process credit applications
- Process Canadian parts and machine transfers to maintain needed inventory
- Maintain shared spreadsheets for machine orders, installations, and other communications that provide one-stop communication across all of department activities
- Respond to customer additions, changes, or cancelations immediately
- Export knowledge, document creation and follow up. Manages deadlines that ensure compliance with all export policies
- Conduct annual internal import/export risk assessment audit and coordinates remediation
- Document in Servicemax parts orders that are tied with work orders to insure complete communication
- Process returns and issues credits within 48 hours
- Process invoices same day received and assist in Accounts Receivable activities
- Process credits and rebills from Accounting Trackers
- Provide part number or machine recommendations with pricing
- Prompt responses to all customer inquiries through phone and email
- Check open billable work orders are correctly formatted for PO #, authorization, and create any customer masters to support
- Maintain internal department knowledge base for accounts and instructions
- Identify, recommend, and participate in improving Order to Cash process
